Everything You Need to Know About Monday.com Boards

A board helps you manage your workflow and track your daily tasks, including multi-step projects. These virtual whiteboards allow you and your team to work together seamlessly through interactivity and collaboration features.

Add a New Board

Adding a new board is super easy. Just click on the “+” icon in the left panel and in the following menu select “New Board.” If you already have a board on Excel, Google Sheets, Trello, or any other platform, you can import it from the same menu or even use a readymade template.

Note: At the time of this writing, it’s not possible to print a board directly from Monday.com. You can rather export the board and then print it.

Board Structure

The board is made up of four main elements: Groups, Columns, Items, and Subitems. Here is a brief explanation of each element:

  • Groups: Organize and categorize information.
  • Columns: Customize how your data is displayed.
  • Items: Individual rows for managing any type of data.
  • Subitems: Add an additional level of information within items.
Board Types

There are three types of boards that Monday.com offers. These include main, shareable, and private. While the basic structure of each of these boards is the same, they differ on the basis of access level.

If you’re the owner of a board, you’ll have the option to change the board type.

To change a board type:

  1. Go to the three-dot menu on the top right corner of your dashboard.
  2. Scroll down to “Settings” and then “Change Board Type” where you can select from the options available.

Delete a Board

To delete or archive a board, click the three-dot menu at the top right corner of your dashboard and select “Delete Board.” Deleted boards are retrievable from the Trash within 30 days.

You can also archive the board through the “Archive Board” option on the same panel. Archived boards can be accessed indefinitely from the archives section.

Communication on the Board

Monday.com offers the feature to not only communicate with team members on specific tasks or subtasks using the update section, but you can also communicate across the entire board using Board Discussions.

To do this:

  1. Go to the three-dot menu on the top right corner of your dashboard.
  2. Scroll down to “Discussion.”
  3. A new panel will appear with a text box where you can add your message and then click “Update” and the message will go to all board members.

It’s important to know the dynamics of a board owner. A board owner is either the person who created the board or any subscribers the creator designates as co-owners. Only the initial owner and account admins can add other owners.

If a board owner leaves the team, you can transfer ownership to recover the board.

Adding Board Description

At times, you may have to add a short description of the board to help members get a better understanding. You can add a description to your board by clicking the dropdown arrow next to your board’s name and type in or edit the board’s description.

Sorting and Filtering Your Board

It’s really easy to sort and customize your board through filters. Sorting and filtering helps you get to a specific task.

To sort your board, click the “Sort” icon at the top menu and sort your board through different parameters like Name, Status, or Due Date. You can add multiple sorting parameters through the “+Add New Sort” option and then click “Save as New View” to apply the changes.

Similarly, you can apply different filters to drill down to the specific information you’re looking for. To filter your board, go to “Filter” in the top menu and apply any of the given filters to narrow down specific information. There’s also an option to apply advanced filters.

See Views on Your Board

You can check who among your members has last viewed your board by going to the top right of your board and clicking on your profile icon. Clicking on the icons opens the activity log of your board with all the recent board activities.

Saving Board as a Template

If you’ve created a perfect board that you find may be useful in all your succeeding projects, you can turn it into a template to reuse later.

To save a board as a template, click the three-dot menu at the top right, scroll down to “More Actions,” and then select the “Save as a Template” option.

Using AI Assistant for Generating Items

Monday.com offers a cool AI Assistant to help you generate items on your board based on the topic you input. To use this option, click the “AI Assistant” button at the top left corner of your board, choose the group to add items to, and input your information.

If you’re not happy with the results, you can deselect irrelevant items or edit your prompt to try again.
